1. Pricing and Availability

All hotel rates, airline fares, cruise pricing, tours, rail journeys, and travel availability are subject to change until confirmed.

Luxury travel quotes and proposals are valid at the time issued and may change without notice due to:

Clements Travel reserves the right to correct:

We do not honor mistake fares or clearly incorrect pricing.

2. Booking Authorization

By requesting a booking through Clements Travel, the client confirms they:

  • Have authority to make the booking
  • Accept these Terms and Conditions
  • Accept supplier terms and conditions
  • Accept responsibility for all travelers listed on the booking

3. Booking Confirmation and Ticket Accuracy

Travel bookings are not confirmed until:

  • Required payment or deposits are received
  • Supplier confirmation is secured
  • Written confirmation has been issued

All booking confirmations, airline tickets, and travel documents are normally sent on the same day the booking is processed.

Clients are responsible for reviewing all documents immediately upon receipt.

Any errors or discrepancies must be reported within 24 hours.

Failure to notify us within this timeframe will be considered acceptance of the booking as issued, and Clements Travel cannot be held responsible for errors reported afterward.

4. Passport and Visa Requirements

Travelers are responsible for ensuring they meet:

  • Passport validity requirements
  • Visa requirements
  • Health requirements
  • Vaccination requirements
  • Entry and immigration rules

Passports should generally remain valid for at least six months beyond the intended return date.

Clements Travel is not responsible for:

  • Denied boarding
  • Immigration issues
  • Entry refusals
  • Visa denials
  • Quarantine costs
  • Missed travel caused by incomplete documentation

We do not monitor passport or visa expiration dates.

5. Travel Insurance

We strongly recommend comprehensive travel insurance for all travel arrangements.

Bookings are not confirmed until payment requirements are satisfied.

Final payment deadlines must be adhered to strictly.

7. Credit Policy

Credit facilities are available only to approved clients and corporate accounts.

Approval may take up to 30 days from the date of application.

Until approved, all travel arrangements must be paid in full before confirmation.

8. Changes and Cancellations

All changes and cancellations are subject to supplier terms and conditions.

Hotels, airlines, cruise lines, and travel providers may impose:

  • Cancellation penalties
  • Change fees
  • Non-refundable restrictions

Clements Travel is not responsible for supplier-imposed penalties or restrictions.

All planning fees, consultation fees, and ticketing fees are non-refundable.

While we are happy to assist with supplier communication, we cannot negotiate supplier cancellation terms.

This is one of the reasons we strongly recommend travel insurance.

9. Hotel Benefits and Preferred Partner Programs

Clements Travel participates in multiple luxury hotel preferred partner programs and Virtuoso benefits programs.

Benefits such as:

  • Complimentary breakfast
  • Hotel credits
  • Room upgrades
  • Early check-in
  • Late check-out
  • VIP amenities

are subject to:

  • Availability
  • Hotel participation
  • Supplier discretion
  • Eligible booking rates

Room upgrades and flexible arrival/departure benefits are never guaranteed unless specifically confirmed in writing.

10. Privacy and Communication Policy

We may only discuss travel arrangements with:

  • The named traveler
  • An authorized assistant or representative approved in writing

We cannot discuss bookings with:

  • Family members
  • Friends
  • Third parties

unless written authorization has been provided.

11. Communication via WhatsApp and Email

Due to the high volume of WhatsApp communication:

  • Important booking requests should always be sent via email
  • Urgent changes should not rely solely on WhatsApp messaging
  • Messages may occasionally be delayed or missed

We are happy to discuss travel plans via phone or WhatsApp, but:

  • All bookings must be confirmed in writing
  • All booking instructions must be provided in written form

We do not accept voice messages for booking instructions because written communication is necessary for:

  • Accuracy
  • Record keeping
  • Quality control
  • Supplier verification

12. Travel Profile Recommendation

We strongly recommend all clients complete a travel profile to streamline future bookings and reduce errors.

If information is missing from the client profile, Clements Travel cannot be responsible for resulting booking inaccuracies.

13. Hotel Complaints Policy

If issues arise during a hotel stay or travel experience, clients should notify both the hotel and Clements Travel immediately while still traveling.

Complaints raised during the stay are significantly easier to resolve than complaints raised after departure.

We will attempt to contact the hotel directly regarding complaints raised during the stay.

Complaints raised after check-out may still be reviewed but may incur an administration fee.

Maintaining positive relationships with luxury hotel partners is important because it helps us secure:

  • Better pricing
  • VIP recognition
  • Preferred room allocation
  • Upgrade priority
  • Enhanced guest experiences

We reserve the right to terminate relationships with clients who:

  • Abuse hotel staff
  • Behave aggressively or disruptively
  • Make repeated unfounded complaints
  • Attempt fraudulent chargebacks or disputes

14. Airline Check-In Policy

Travelers are solely responsible for completing airline check-in procedures.

Airlines require passengers to personally accept:

  • Conditions of carriage
  • Health declarations
  • Safety requirements
  • Visa and immigration confirmations

For legal and operational reasons, Clements Travel cannot complete airline check-in on behalf of travelers.

15. Data Protection and Payment Security

19. Referral Program

Refer a new client to Clements Travel and once they spend £6,000 on travel bookings, you will receive a £200 travel voucher.

Corporate travel referrals may qualify for enhanced referral bonuses.

Referral rewards are issued at the discretion of Clements Travel and may be modified or withdrawn at any time.

20. Governing Law and Dispute Resolution

These Terms and Conditions are governed by the laws of England and Wales.

Any disputes arising from the use of our services or website will be subject to the exclusive jurisdiction of the courts of England and Wales.
