Many travelers book a hotel first and only later find out they could have received extra benefits through a preferred partner program. If you booked directly with the hotel, Clements Travel can often help add those benefits to your existing reservation.

You do not need to cancel anything before speaking with us. We will first check whether your stay is eligible, confirm what benefits can be added, and explain the options before anything is changed.

There is no booking fee for this service. Your payment stays directly with the hotel through its own secure process, and Clements Travel never sees or stores your card details.

Can benefits be added to an existing hotel booking?

Usually, yes. If you booked directly with a luxury hotel, Clements Travel can ask the hotel whether our agency can be attached to your reservation. If the booking is eligible, the hotel may be able to add preferred partner benefits without requiring you to start again.

If the hotel cannot transfer the booking, we can compare your existing reservation against a new hotel-direct quote with benefits. You can then decide whether it is worth switching. There is no obligation and no pressure.

Even if we cannot add benefits this time, it is still useful to make the connection so we can help with future hotel bookings.

What is a hotel booking takeover?

A hotel booking takeover is when a travel advisor works with the hotel to add agency recognition to an existing reservation.

For the guest, the process is usually simple:
• You send us your hotel confirmation
• We check directly with the hotel
• The hotel confirms whether benefits can be added
• You approve any changes before anything is updated

In many cases, the stay remains hotel-direct. The same hotel, dates, room type and payment process stay in place, but the booking may now include added benefits and advisor support before arrival.

What benefits can usually be added?

Depending on the hotel, rate and preferred partner program, eligible booking takeovers may include:

• Daily breakfast for two
• Hotel credit, often USD 100 or more per stay
• Room upgrade priority, subject to availability
• Early check-in, subject to availability
• Late check-out, subject to availability
• Welcome amenity
• Hotel recognition before arrival
• Support with special requests
• Help before or during the stay if something needs attention

These benefits can be valuable at luxury hotels, where breakfast, dining, spa treatments and room upgrades can be expensive.

Which bookings are easiest to improve?

Hotel booking takeovers work best when:

• You booked by phone or email with the hotel
• The rate is flexible or semi-flexible
• The hotel still has availability
• The booking is at a luxury hotel with preferred partner benefits
• The reservation has not been prepaid through a third-party website

Direct flexible rates are usually the cleanest.

How the seamless process works

Our goal is to make the process as simple as possible.You do not need to call the hotel yourself. You do not need to cancel your existing booking before speaking with us. You do not need to send us your credit card details.

Send us your reservation

Send your hotel name, destination, dates, room type, confirmation number, rate and how you booked.

We check directly with the hotel

We ask whether the reservation can be transferred to Clements Travel and whether eligible benefits can be added.

We confirm your options

If the hotel can attach us to your current booking, we confirm the benefits. If a new booking is required, we show you the rate, terms and benefits before anything changes.

You approve first

We do not cancel, rebook or change your reservation without your approval.

You receive hotel confirmation

Once approved, the hotel confirms the booking details. Payment remains directly with the hotel through the hotel’s secure payment process or on arrival.
